Turnkey ice rink rental delivery — from site readiness to dismantling

Once rental is selected, the project becomes an implementation workflow: site readiness, equipment delivery, refrigeration and hydraulic installation, commissioning, controlled ice build-up, operator handover, seasonal support and dismantling.
What a turnkey delivery scope can include
- AST EPDM, IceBox or SkateWay® real-ice technology;
- refrigeration unit, pumps and hydraulic connections;
- boards, gates and perimeter equipment;
- resurfacing equipment;
- rental skates, racks, sharpening and visitor accessories;
- transport and site logistics;
- installation and pressure testing;
- filling, venting and commissioning;
- controlled ice build-up;
- operator instruction;
- technical support during the agreed period;
- dismantling and return logistics.
Step 1 — confirm site readiness
Before mobilisation, the project should confirm the supporting base, electrical supply, water and drainage, refrigeration-equipment location, pipe and cable routes, delivery access, board layout and responsibility for local permits and event infrastructure.
A turnkey rink still depends on these interfaces being ready at the agreed time.
Step 2 — deliver and install the rink system
The installation sequence depends on the selected technology but typically includes collector or IceBox positioning, EPDM deployment, hydraulic connections, refrigeration-equipment positioning, electrical connection and board installation.
Step 3 — pressure test, fill and vent
Before normal operation begins, the secondary-fluid circuit should demonstrate pressure integrity, correct fluid condition, complete filling, effective air removal and stable pump operation. A chiller cannot compensate for trapped air or poor hydraulic distribution.
Step 4 — commission refrigeration and controls
Commissioning verifies supply and return temperatures, pump operation, refrigeration stages, control setpoints, condenser airflow, alarms and any remote monitoring included in the project.
For custom or large layouts, temperature distribution across the rink should also be checked rather than relying on one sensor.
Step 5 — build the ice progressively
AST rental guidance uses controlled thin-layer / spray ice build-up instead of flooding a deep layer at once. The project schedule must therefore include real freeze-down and ice-build time after equipment installation.
Equipment-installed and ice-ready are different milestones.
Step 6 — test the operating workflow
Before public opening, SPORTWAVE checks the practical route for resurfacing, snow disposal, water filling, gates, skate operation and technical access. The daily operating team should complete the real pre-opening and resurfacing routine before handover.
Step 7 — operator handover
Seasonal staff need clear instructions on normal ice condition, temperature and alarm checks, resurfacing, weather response, board inspection, skate operation and when to contact technical support.
Seasonal support
A short winter season has little tolerance for prolonged downtime. The agreed support scope can include remote diagnostics, alarm escalation, technical intervention, spare-part coordination and operational advice.
Responsibility matrix
Turnkey does not mean every site responsibility automatically belongs to SPORTWAVE. The proposal should state who provides:
- prepared and approved site;
- electrical connection;
- water and drainage;
- permits and local statutory coordination;
- security and visitor management;
- daily operating staff;
- snow-disposal arrangements;
- access for installation, service and dismantling.
This prevents gaps between the technical rink scope and the organiser’s event or site responsibilities.
End-of-season dismantling
The rink is taken out of operation in a controlled sequence: thawing, circuit preparation, board removal, EPDM or IceBox handling, equipment inspection, loading and site handback. For recurring projects, observations from dismantling should be recorded so the next installation is faster and more predictable.
